2024 Gardeners’ Fair Vendor Information

Welcome to Locust Grove!

We are excited to see vendor interest in the 2024 Gardeners’ Fair. This event is in its 29th year, and this achievement would not have been possible without the amazing vendors and partners we have had the pleasure of working with over the last 30 years!

Below, you will find information and FAQ for vendors and non-profit organizations wishing to participate in the 2024 Gardeners’ Fair.

The 2024 Vendor Application has now closed! Please check back in November to secure your spot for the 2025 and 30th Annual Gardeners’ Fair.


Gardeners’ Fair Parking Map

Vendor Arrival Time:

  • Friday, May 10, 2024, starting at 4:30PM.
  • All Vendors must be set up by 10:00AM on Saturday, May 11
  • Please do not begin packing up till 4:30PM on Sunday, May 12

Directions:

  • Follow the yellow arrows to locate the designated load and unload area. Vendors can access Locust Grove from River Road or Brownsboro. There will be yard signs on either street directing traffic.

Check-in:

  • A Locust Grove staff member will be available in the vendor area for check-in starting at 4:30PM on Friday, May 10th, and at 8am on May 11th.
  • Upon arrival, vendors will receive a parking pass with the dates they can park onsite. Please ensure that the parking pass is visible in your car.
  • Vendors will be assigned a Vendor number that will correlate with the final vendor map and a sign to go on their tents. Please ensure that your sign is visible to visitors. A yard sign will be staked in the location of your booth to help alleviate confusion.

Parking:

  • The vendor area will only be available for cars to unload in the afternoon on Friday, May 10th, and the morning before the event on May 11th and 12th.
  • All vehicles must park in the ‘Vendor Parking’ indicated in the above map.
  • NO VEHICLES may park in the vendor booth area throughout the weekend unless told otherwise by the Building and Grounds Manager and Program Director.
  • Please alert staff if you plan to park a vehicle overnight so that we may direct you to a parking spot.
  • Due to size concerns, large trucks, vans, or trailers will be directed to park toward the general parking area.

Gardeners’ Fair Vendor Booth Map

The vendor booth map above outlines the location of each booth and essential features such as entrances, exits, restrooms, and food and beverage options. We have done our best to accommodate everyone’s requests. However, not all requests can be made perfectly with double the number of vendors. If there is a significant need to discuss changes to your booth location, please email me at rmelvin@locustgrove.org.

Tents & Tables:

All vendors must provide their own tent should they need one. Locust Grove staff will be onsite to assist vendors needing help with their tents and load-in.

LG has a limited number of tables available for vendors wishing to borrow. Please inform LG staff before or upon arrival should your booth need additional tables.

Restrooms:

As indicated on the map, a restroom area and hand washing station will be located opposite the Ice House. Additional restrooms are available in the Visitor Center and Pavilion.

Food:

As indicated on the map, two food trucks, Crowler Catering and Alchemy Food Truck, will be located on the patio near the stone wall. Gelato Gilberto and Baked Good by Judy will be in the Pavilion if you want sweeter food.

Electricity:

Vendors that requested electricity have been placed near an electrical outlet. If you are a vendor that needs electricity and is not near the electrical outlet indicated on the map, please email rmelvin@locustgrove.org to arrange a closer location. However, vendors must provide their own cables, as LG has a limited number of extension cables.


Weather Conditions

Gardeners’ Fair will still take place on May 11 and 12th. However, if hazardous weather should be forecasted (e.g., lightning, tornado, etc.), I will alert all vendors of Locust Grove’s decision. This decision could range from a delay in the event to needing to cancel. I will make any announcement over a bullhorn, which may include a loud alarm sound.

If Gardeners’ Fair is canceled due to safety concerns, LG staff will assist vendors with their breakdown, including tents. Locust Grove staff will show vendors and visitors shelter locations if it is necessary to shelter in place. Please follow our staff’s directions as we try to keep everyone safe.


Vendor Breakfast

Locust Grove values all our vendors who have partnered with us this year. To show our appreciation, vendors can enjoy breakfast in our auditorium. Bagels, doughnuts, fruit, etc., will be available for vendors and helpers each morning of Gardeners’ Fair.

We are also happy to announce that Heine Brothers’ will generously donate coffee for both days.

The Auditorium is located between the Visitor Center and the Pavilion. Vendors are welcome to head in that direction starting at 8am.


Unprofessional Conduct

Unprofessional conduct, failure to abide by the Rules of Participation or Historic Locust Grove’s policies, or abuse of volunteers, vendors, LG Staff, or visitors are grounds for immediate dismissal at the discretion of the Program Director or President/CEO.

Booth fees cover the space in the vending area and parking for two vehicles. They do not include tents, tables, chairs, etc. Vendors must provide their own tent or other items necessary to display their plants, seeds, art, etc.

Booth fees include KY sales tax (6%) and can be paid via check or with credit card over the phone by calling (502)897-9845 or by visiting [insert link].

Are you interested in demonstrations of any kind?

Yes! We love to have demonstrations on various topics related to gardening, farming, composting, animal husbandry, STEM education, etc. Please contact rmelvin@locustgrove.org to let her know, and we will work with you to schedule your demonstration for the fair.

Do you accept Non-Profits for Gardeners’ Fair?

Absolutely! We enjoy partnering with non-profit organizations at the Gardeners’ Fair. We have two options for non-profit organizations to participate this year. The first is that non-profits wishing to have an informational or free activity booth can sign up for free. Non-profits wishing to sell merchandise or additional products will pay a small fee of $75.00. We look forward to partnering with your organization this year!

How many people do you expect to visit?

In previous years we have had crowds between 3,500 – 4,000 visitors

Will there be any news coverage?

Yes! We will be reaching out to various news outlets, including Keith Kaiser’s morning WDRB segment, the week of the event, so if you are interested in being on-site and helping with this, please contact rmelvin@locustgrove.org. We will also be sending out press releases to other local news outlets, advertising on local radio stations and additional media outlets, and doing our own print and social media marketing. Please follow us on Facebook and Instagram and help promote the event as well to have the best chance at high attendance and sales!

Are there any discounts for new vendors or emerging artists?

Yes! We are always excited to have new vendors and emerging artists who want to participate in Gardeners’ Fair. This year, we are implementing a 20% discount for any new vendors wishing to participate in this year’s Gardeners’ Fair. Use the coupon code: newvendor2024.
